Guest-ready every time: a host's system for running a short-term rental

Most problems a guest finds were visible hours earlier. A clear definition of ready, turnovers planned from the calendar, a checklist that ends with photos and a fast loop for issues keep your property guest-ready without you chasing anyone.

Most of what goes wrong for a guest was visible hours earlier. The towel count was short at the last clean. The hot tub was never on anyone's list. The cleaner was assigned but never confirmed. None of these are hard problems. They are coordination problems, and coordination problems are solved by a system, not by a host who remembers everything.

This guide sets out that system. It works whether you run one property or twenty, and none of it depends on any particular tool, though we'll point out where uxena does the work for you.

Decide what "ready" means for each property

Before anything else, write down what has to be true when a guest opens the door. Not "clean": specific, checkable things.

  • Beds made with fresh linen, and spare sets in the closet
  • Bathrooms cleaned and restocked: towels, toilet paper, soap
  • Kitchen basics stocked: coffee, dish soap, sponges, trash bags
  • Wi-Fi working, and the network name and password where the guest expects them
  • Thermostat at a sensible setting, hot water on
  • Lock code changed for this booking and tested
  • Anything seasonal: pool cleaned, hot tub at temperature, snow cleared

That list is your definition of ready. Every other step in this guide exists to get each property to it, every time, without you standing in the doorway checking.

Build every turnover from the booking calendar

A turnover starts the moment a booking lands, not on the morning of check-out. The window between one guest leaving and the next arriving is fixed by your calendar, so that is where planning should start.

For each booking, know three things:

  1. The window. Check-out time to the next check-in, and whether it's a same-day changeover.
  2. Who is doing the work. A named cleaner, and anyone else the stay needs: pool, spa, laundry, handyman.
  3. Whether they've confirmed. An assignment nobody acknowledged is a gap you will find out about late.

Same-day changeovers deserve the most attention. They leave no slack, so the cleaner needs to know the window in advance and you need to know they've accepted it. If your calendar and your cleaner's schedule live in different places, keeping them in step by hand is where turnovers slip. uxena reads your booking calendar and turns each checkout into a job for the right provider, so the schedule can't drift from the bookings.

Let the checklist do the remembering

A checklist isn't there because your cleaner doesn't know their job. It's there because "did anyone check the hot tub?" should have an answer that doesn't depend on someone's memory at 3pm on a Saturday.

Keep it short and in the order the work happens:

  • First 15 minutes: strip the beds and start laundry, then walk the property once and report anything broken, missing or left behind.
  • The clean: kitchen and bathrooms top to bottom, then everything else.
  • Restock from a fixed list, not from memory.
  • Last 10 minutes: stage the rooms and photograph each one.

Photos are the part hosts skip and later wish they hadn't. A photo of each room at the end of a turnover settles most "it wasn't like that when I arrived" conversations before they start, and it lets you see the property without driving there.

Catch problems while there's still time to fix them

The most expensive problems are the ones you hear about from a guest. A broken water heater found at the end of a clean is an annoyance. Found by a guest at 10pm, it's a refund and a bad review.

The fix is to make reporting the easiest thing a cleaner can do. They should be able to text a photo and a sentence, in whatever app they already use, and have it reach you straight away. Then:

  • Triage fast. Does it block the next check-in, or can it wait for a scheduled repair?
  • Know who fixes what. Keep a short list of providers: handyman, plumber, electrician, pool service.
  • Close the loop. The issue isn't done when someone's been called. It's done when it's fixed and you've seen proof.

If you can't say whether the property is ready for tonight's guest, it isn't. You just don't know it yet.

Keep restocking boring

Running out of toilet paper is never a crisis. It's a small failure that guests remember anyway. Make restocking dull and predictable:

  • Keep a par level for each consumable: the number that should always be on site.
  • Have the cleaner note what's below par at every turnover, not only when something runs out.
  • Reorder on a fixed day each week rather than when someone notices.

Pay your providers the same week

Good cleaners have options. The hosts they stay with are the ones who pay promptly and don't need chasing. An invoice tied to each completed job, with its photos, makes paying easy for you and getting paid easy for them. Reliable payment is one of the cheapest ways to keep a reliable team.

A ten-minute weekly review

Once a week, look back rather than ahead:

Question Why it matters
Did any turnover start late or run over? Same-day changeovers need more slack, or a second pair of hands
Were any issues reported more than once? A repeat is a repair, not a cleaning note
Did anything run out? Raise that item's par level
Did any assignment go unconfirmed? Follow up before it happens on a busy weekend

Ten minutes a week is enough to stop the same problem catching you twice.

Putting it together

A guest-ready property comes from four habits: a clear definition of ready, turnovers planned from the calendar, a checklist that finishes with photos, and a fast loop for problems. Each is simple. The hard part is keeping them all running across every booking and every provider without it living in your head.

That's what uxena is built for. It coordinates every turnover, keeps your cleaners and other providers in the loop by SMS, WhatsApp or email, and shows you what's still standing between each property and the next guest. Start free and see what's ready, and what isn't, before your guests do.

Know it's ready before they arrive.
