1. Scope
This Privacy Policy describes how the operator of uxena — Shibhu Nambiar, who operates uxena as a trade name rather than through a separate registered entity — (“uxena,” pronounced you‑ZEE‑nuh, and also “we,” “us,” or “our”) collects, uses, discloses, and protects personal information when you use the uxena websites, applications, communications, and related services (collectively, the “Service”). It also describes choices and rights that may be available to you.
This policy does not govern independent hosts, cleaning businesses, cleaners, property managers, booking platforms, payment providers, or other third parties when they process information for their own purposes.
2. Information we collect
Account and contact information
We may collect your name, email address, telephone number, authentication identifiers, product role, business affiliation, notification preferences, and account settings.
Property and operational information
We may process property names and addresses, booking and calendar information, cleaning windows, assignments, checklists, rates, inventory status, issue reports, access instructions, photos, readiness records, invoices, approvals, and operational messages.
Connected-service information
If you connect a calendar, communications service, storage provider, payment provider, or other integration, we receive information needed to operate that connection. We do not display provider credentials to other users.
Usage, device, and diagnostic information
We may collect IP address, browser and device type, operating system, approximate region, login and usage activity, application events, error reports, security events, and performance data.
Product analytics and session recordings
We use PostHog, an analytics provider that stores data in the United States, to understand how our websites and the uxena application are used: which pages are opened, which controls are clicked, and where people stop during sign-up. PostHog sets a first-party cookie and stores an identifier in your browser so that visits on the same browser can be recognised as one visitor, including visits to our marketing pages and articles. We may record sessions so we can see how a page was used. On our public pages, recordings show the page as published but mask what you type into forms. In the application, recordings also mask the text shown on the page, except navigation labels, and do not include images, photos, or network contents. When you are signed in, your activity is linked to your account by an internal identifier, your role, and the identifier you sign in with (your email address, username, or mobile number). We do not send IP addresses to PostHog. When an account is deleted, we ask PostHog to delete its analytics data and recordings.
Communications
We process messages, support requests, notification delivery status, and communication preferences. When you participate in the SMS program, we process your mobile number, consent record, message content, timestamps, and opt-in or opt-out status.
3. How we use information
We use information to:
- provide and operate property-turnover and readiness workflows;
- authenticate users and enforce tenant, property, business, and role permissions;
- connect calendars and create or update readiness requests;
- coordinate assignments, checklists, photos, issues, inventory, approvals, billing, and communications;
- send messages and notifications you request or consent to receive;
- provide support and respond to inquiries;
- protect users, investigate abuse, and secure the Service;
- monitor reliability, diagnose errors, and improve product performance;
- comply with law and enforce agreements; and
- create aggregated or de-identified insights that do not reasonably identify an individual.
4. SMS and mobile-information privacy
If you opt in to Uxena Operational Updates, we use your mobile number and consent record to send recurring operational messages about booking changes, cleaning requests and assignments, approvals, property-readiness alerts, issue notifications, and account support.
Where a property host provided your number. If a host added you as a service provider, they were required to confirm that they had personally asked your permission to send you job texts. We store that confirmation as your consent record: the host’s identity, the channel, and the date and time. We do not receive or store any note of what was said between you. Your first message from us identifies the program, names the host who added you, and explains how to stop. If you reply STOP, we suppress messaging to your number permanently and no host can restore it — only you can, by texting START. Both consent routes are described on our SMS opt-in page.
We do not sell, rent, or share mobile phone numbers, text-message originator opt-in data, or SMS consent with third parties, affiliates, partners, or lead generators for their own marketing or promotional purposes.
We may provide mobile information to communications vendors acting solely as service providers under our instructions when necessary to transmit messages, process replies, prevent abuse, or maintain the SMS program. Those providers may not use SMS opt-in data for their own marketing.
SMS consent is specific to uxena and the message subjects disclosed when you subscribe. It is not transferred to another business or treated as consent to unrelated programs.
Message frequency varies. Message and data rates may apply. Reply STOP to unsubscribe or HELP for assistance. We retain proof of consent and opt-out records as needed to comply with law, carrier requirements, and Twilio policy.
5. How we disclose information
Subject to the special SMS restrictions above, we may disclose information in these circumstances:
- Authorized participants: to hosts, cleaning businesses, cleaners, employees, handymen, and other users to the extent required for an authorized property or readiness workflow;
- Service providers: to vendors that provide hosting, database, authentication, storage, communications, analytics, customer support, security, payment, or professional services under contractual restrictions;
- Connected services: when you direct us to connect or send information to a third-party service;
- Legal and safety: when reasonably necessary to comply with law, legal process, or valid governmental requests; protect rights or safety; investigate fraud or abuse; or enforce agreements;
- Business transactions: in connection with a financing, merger, acquisition, reorganization, or sale of assets, subject to appropriate confidentiality and applicable law; and
- With your direction: when you request or clearly authorize another disclosure.
All the above categories exclude text messaging originator opt-in data and consent; this information won’t be shared with any third parties.
For avoidance of doubt, the categories above do not permit the sale, rental, or transfer of mobile numbers or SMS opt-in data and consent for third-party or affiliate marketing or promotional purposes.
6. Data retention
We retain information for as long as reasonably necessary to provide the Service, maintain operational and audit records, comply with legal and contractual obligations, resolve disputes, enforce agreements, and protect the Service. Retention varies based on data type, account status, sensitivity, and legal requirements.
We retain proof of SMS consent at least until consent is withdrawn and longer when required for compliance or dispute resolution. An opt-out record may be retained to ensure that messaging remains suppressed.
7. Security
We use administrative, technical, and organizational safeguards designed to protect personal information. No method of transmission or storage is completely secure, and we cannot guarantee absolute security. Users are responsible for securing their accounts, devices, property-access information, and credentials.
8. Artificial intelligence and automated processing
Some uxena features may use automated systems or artificial-intelligence providers to structure requests, draft actions, summarize activity, evaluate photos, or make recommendations. We limit information sent to providers to what is reasonably necessary for the requested feature and use contractual and technical safeguards where appropriate. Agent-assisted outputs may require human approval before they affect operational records.
9. Your choices and rights
Depending on your location, you may have rights to request access, correction, deletion, restriction, objection, or portability of personal information, or to withdraw consent. You may update certain information through your account or submit a request through uxena support. We may need to verify your identity and may retain information where permitted or required by law.
You may withdraw SMS consent at any time by replying STOP. Withdrawing SMS consent does not automatically delete your uxena account or operational records.
10. Children
The Service is intended for adults and business users and is not directed to children under 13. We do not knowingly collect personal information from children under 13.
11. International processing
Uxena and its service providers may process information in countries other than where you live. Where required, we use recognized safeguards for cross-border transfers.
12. Changes to this policy
We may update this Privacy Policy. We will post the revised version with a new effective date and provide additional notice where required. If a change materially alters the subject matter of an SMS program, we will obtain new consent when required.
